1. Introduction

ORCA Robotics LLP ("ORCA Robotics", "we", "us", "our") operates the website orcarobotics.in. Under the Digital Personal Data Protection Act, 2023 ("DPDP Act") and the Digital Personal Data Protection Rules, 2025 ("DPDP Rules"), we are the "Data Fiduciary" for personal data collected through this website.

This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, who we share it with, and what rights you have. It applies to all visitors, including anyone under 18. By using our website, you agree to the terms of this Privacy Policy. If you do not agree, please refrain from using the website.

2. Information We Collect

We collect the following types of information.

B. Purchases (checkout handled by Shopify)

C. Log data

Like many website operators, we may automatically receive and record information that your browser sends when you visit our site. This log data may include your computer's Internet Protocol (IP) address, browser type and version, the pages of our site you visit, the time and date of your visit, time spent on those pages, and other usage statistics. This data is used solely for maintaining and improving the website.

D. Cookies

Our website may use cookies, which are small data files stored on your browser, to improve your experience. Cookies may include an anonymous unique identifier. More detail is in section 5.

We collect only what is needed for the purposes described in this policy. We do not collect names or details of individual students.

3. Consent

We process your personal data based on your consent. You give it by ticking an unticked checkbox next to this notice on our enquiry form, and by completing checkout after reading this notice. Marketing communications are optional and requested separately. You can still enquire or buy without agreeing to them.

You can withdraw consent at any time, as easily as you gave it, by emailing support@orcarobotics.in. Withdrawal does not affect processing done before it. After you withdraw, we will stop processing and erase your data within [30] days, unless the law requires us to keep it.

We may also process data without fresh consent where the DPDP Act permits it ("legitimate uses"), for example to meet a legal obligation or to respond to a request you voluntarily made to us.

4. How We Use Your Information

The information we collect is used for the following purposes:

  • To respond to your enquiry or service request
  • To provide information about our products, kits, handbooks and workshop services
  • To process orders or institutional purchase discussions
  • To maintain and improve our website and services
  • To monitor usage of our website
  • To send newsletters or marketing communications, where you have opted in (you may opt out at any time by contacting us at support@orcarobotics.in)

5. Cookies

Our website and Shopify checkout use cookies that are essential for the site and checkout to work, such as keeping items in your cart. We may also use Google Analytics / Meta Pixel to understand traffic. These load only after you accept them in our cookie banner.

You can instruct your browser to refuse all cookies or to notify you when a cookie is being sent. Please note that some features of the website, including checkout, may not function properly if cookies are disabled.

6. Third-Party Services

We may employ third-party companies and service providers to facilitate our website and services, including web hosting, checkout and payment processing. These third parties have access to your information only to perform specific tasks on our behalf and are obligated not to disclose or use it for any other purpose.

  • Hostinger hosts our website and may collect standard server-level data such as IP addresses and traffic statistics as part of its hosting infrastructure. This data is governed by Hostinger's privacy policy.
  • Shopify operates our checkout and stores order details, subject to Shopify's privacy policy.
  • Razorpay and/or Cashfree process payments, subject to their respective privacy policies.
  • Courier partners receive your name, address and phone number to deliver your order.
  • Email providers deliver your enquiries to us.

These providers act as our "Data Processors". Some of them, including Shopify, may store data on servers outside India. We transfer data only as permitted under Indian law.

7. Sharing of Information

We do not sell, rent or trade your personal information to any third party. We may share your information only in the following limited circumstances:

  • With our co-founders or internal team members at ORCA Robotics LLP, solely for the purpose of responding to your enquiry or order
  • With the service providers listed in section 6, solely to perform their tasks for us
  • With payment processors (Razorpay) when you make a purchase, subject to their respective privacy policies
  • If required by law or a government authority under applicable Indian law

8. Payment Information

When you make a purchase, payments are processed through a third-party gateway, Razorpay. We do not see or store your card details, UPI credentials, or any sensitive payment information on our servers. For institutional orders, bank transfer details are shared directly via email and are not stored on the website.

9. Data Retention and Erasure

  • Enquiry details: kept only as long as necessary to address your enquiry and for reasonable follow-up, and no longer than 12 months after your last interaction, after which we delete the email thread.
  • Order and invoice records: kept for the period required by Indian tax and accounting laws.
  • Log data: kept for 1 year, as needed for security and website improvement.
  • Marketing contacts: kept until you withdraw consent.

You may request deletion of your information at any time by writing to us at support@orcarobotics.in. If we plan to erase your data because of inactivity, we will give you at least 48 hours' notice.

10. Children's Data

This Privacy Policy applies to all visitors, including anyone under 18. Under the DPDP Act, a person under 18 is a child, and we process a child's personal data only with the verifiable consent of a parent or lawful guardian.

Our enquiry form is meant for teachers, college staff and other adults. If you are under 18, please ask a parent, guardian or your institution's authorised staff to submit the enquiry on your behalf. If we find that an enquiry was submitted by someone under 18 without such consent, we will pause processing, ask for the parent or guardian's consent, and delete the data if consent is not given. We do not track or monitor children's behaviour, and we do not show them targeted advertising.

Online purchases must be made by adults. Minors may use our products and workshops under a parent or guardian's supervision and consent.

If you believe a minor has submitted information to us without proper consent, please contact us at support@orcarobotics.in and we will delete it promptly.

11. Your Rights

Under applicable Indian law, including the DPDP Act and the DPDP Rules, you have the right to:

  • Access a summary of the personal data we hold about you and who we have shared it with
  • Correct inaccurate or incomplete information
  • Request deletion of your personal data
  • Withdraw consent at any time
  • Have your grievances addressed
  • Nominate another person to exercise these rights if you die or become incapacitated

We will acknowledge your complaint within [48 hours] and resolve it within [30] days. If you are not satisfied, you may complain to the Data Protection Board of India once its complaint process is available.

13. Security and Breach Notification

We take reasonable precautions to protect your information from unauthorised access or disclosure, including encrypted (HTTPS) connections, password-protected email accounts and restricted team access. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

If a personal data breach affects you, we will notify you without delay, telling you what happened, the likely impact, the steps we have taken, and who you can contact. We will also report it to the Data Protection Board of India as required.

14. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date, and we will seek fresh consent where the law requires it. We encourage you to review this page periodically.
